Microsoft 365: Basic vs Standard vs Premium

The three main Microsoft 365 Business plans look similar on paper, so here is what actually separates them and who each one suits.

Microsoft 365 comes in several Business plans, and the names do not make it obvious what you get. For most small and medium businesses in Auckland, the choice comes down to three: Business Basic, Business Standard and Business Premium. Here is how they compare in plain English, and how to pick the one that fits.

The quick version

All three plans give every user a business email address, the online versions of Word, Excel, Outlook and PowerPoint, and cloud storage through OneDrive and SharePoint. They also include Microsoft Teams for meetings and messaging. The differences come down to two things: whether you get the desktop apps installed on your computers, and how much security and device management is built in.

Business Basic: email and the online apps

Basic is the entry point. You get hosted email, Teams, and the web-based versions of the Office apps that run in a browser. There are no installed desktop apps, so if someone spends all day in Excel building complex spreadsheets, the online version can feel limited.

Basic suits businesses where staff mostly deal with email and light document work, or where people already have the desktop apps through another arrangement. It is the most affordable option per user.

Business Standard: the full desktop apps

Standard includes everything in Basic, plus the fully installed desktop versions of Word, Excel, Outlook, PowerPoint and the rest. Each licence typically covers a person across multiple devices, so someone can have the apps on their work PC and a laptop.

For most businesses this is the natural default. If your team lives in Office all day and wants the reliability and full features of the installed apps, Standard is usually the right starting point.

Business Premium: everything, plus real security

Premium is Standard with a serious security and management layer added on top. This is where the plans genuinely diverge, and it is worth understanding what you are actually getting:

  • Advanced threat protection that scans email links and attachments for phishing and malicious files before they reach your staff.
  • Device management, so laptops and phones that access company data can be enrolled, secured, and wiped remotely if one is lost or stolen.
  • Stronger identity controls, including tools to enforce multi-factor authentication and conditional access rules across the business.
  • Data protection features that help control who can see or share sensitive information.

For a business that handles customer data, sends invoices, or would be seriously disrupted by a compromised mailbox, Premium is often the sensible choice. Under the Privacy Act 2020, New Zealand businesses are responsible for keeping personal information secure, and the protections in Premium make that a great deal easier to demonstrate.

Which one suits you?

A few rough guides:

  • Choose Basic if budget is tight and staff can work happily in the online apps.
  • Choose Standard if you want the full desktop apps but do not need extra security tooling.
  • Choose Premium if security, compliance, and managing company devices matter to you, which for most businesses today they do.

You do not have to put everyone on the same plan either. It is common to give front-line or shared-role staff a lighter licence while directors, finance, and anyone handling sensitive data get Premium.

The apps are much the same across all three plans. The real decision is how much protection you want wrapped around your email, your data, and your devices.
