01 Accounts & passwords
- Turn on multi-factor authentication (MFA) for email, banking and admin logins
- Use a password manager so every account has a long, unique password
- Remove or disable accounts for staff who have left
- Give admin rights only to the few people who genuinely need them
02 Devices & updates
- Keep Windows, macOS and apps set to update automatically
- Run reputable security software on every computer
- Encrypt laptops so a lost device does not mean lost data
- Set screens to lock automatically when idle
03 Email & phishing
- Filter spam and malicious email before it reaches staff
- Train the team to pause and verify unexpected payment or password requests
- Confirm any change of bank details by phone, using a known number
- Make it safe for staff to report a mistake quickly
04 Backups & recovery
- Back up your important data automatically, every day
- Keep at least one copy off-site or offline, out of reach of ransomware
- Back up Microsoft 365 email and files separately — it is your responsibility, not Microsoft’s
- Test a restore now and then, so you know it actually works
05 Network & premises
- Change default passwords on your router, WiFi and any cameras
- Separate guest WiFi from your business network
- Keep firewall and network firmware up to date
- Review who has physical access to servers and network gear
06 People & planning
- Write down who to call and what to do if something goes wrong
- Review your security basics at least once a year
- Keep a simple record of your key systems and logins (stored securely)
- Know your obligations under the NZ Privacy Act 2020
